Payment and Cancellation Terms

Welcome to Himalayan Mountaineering Expedition By booking with us, you agree to the following terms and conditions. Please read them carefully before proceeding.
1. Booking and Payment
1.1 Reservation Confirmation
- To confirm your booking, a non-refundable deposit of 20% of the total package cost is required.
1.2 Final Payment
- The balance payment must be made at least 25 days prior to the expedition start date unless otherwise agreed.
1.3 Payment Methods
- Payments can be made via bank transfer, credit card, or other approved methods. Any transaction fees are the client's responsibility.
2. Cancellation and Refund Policy
2.1 Cancellation by Client
- More than 20 days before departure: Full refund (excluding deposit).
- Less than 10 days before departure: No refund.
2.2 Cancellation by Company
- In case of force majeure (e.g., political unrest, natural disasters), we may cancel the trip. In such cases, clients will receive a refund minus incurred expenses.
3. Health and Fitness Requirements
3.1 Medical Fitness
- Clients must ensure they are physically and mentally fit for the expedition. A medical clearance may be required.
3.2 Insurance
- Comprehensive travel insurance, including coverage for high-altitude trekking, evacuation, and medical emergencies, is mandatory. Proof of insurance must be submitted before departure.
4. Itinerary Changes
4.1 Flexibility
- The itinerary is subject to change based on weather, trail conditions, and other unforeseen factors.
4.2 Additional Costs
- Any additional costs arising from itinerary changes (e.g., accommodation, transport) are the client’s responsibility unless explicitly included in the package.
5. Responsibilities and Liability
5.1 Client Responsibility
- Clients must adhere to instructions provided by guides and staff for their safety.
- Illegal activities or behavior that endangers others may result in immediate termination of participation without refund.
5.2 Company Liability
- While we strive for safety, mountaineering involves inherent risks. The company is not liable for injury, loss, or damage caused by circumstances beyond our control.
6. Equipment and Gear
6.1 Personal Gear
- Clients are responsible for bringing appropriate gear as outlined in the packing list.
6.2 Rental Gear
- Rental equipment is available on request. Any damage or loss must be compensated by the client.
7. Permits and Documentation
- Clients must provide accurate personal details for necessary permits. Failure to do so may result in cancellation without refund.
8. Complaints and Disputes
- Any complaints during the trip must be raised immediately with the guide or company representative.
- Disputes will be settled under the jurisdiction of Nepalese law.
9. Privacy Policy
- Personal information provided will only be used for booking and operational purposes.
10. Acknowledgment of Risks
- By booking with us, you acknowledge the risks associated with high-altitude mountaineering and agree to participate at your own risk.
